Dear _________________:
You work hard, and you work well here at _________________. I am sorry to have to write to you about an infraction of the rules. It has come to my attention that your lunch breaks have been getting longer day by day, to the point that you are now absent from the office for as much as _________________ every afternoon.
I know how difficult it can be to fit errands into a normal lunch hour, especially with the busy schedule you have. Frankly, I would be willing to overlook a few long lunches. But when it becomes a habit, I have to let you know that the habit cannot continue.
When other people see you returning from lunch so late, they begin to feel that they can take the same privilege for themselves. We all just have too much work to get done for any of us to take off extra time in the afternoon on a regular basis.
We appreciate your work, but you need to return from lunch on time starting now. Thank you for understanding.
Sincerely,
