Dear _________________:
Did you ever get the feeling that you receive too many emails to read, yet you never get the ones you're really awaiting?
Many members of our team seem to be suffering from this syndrome. I have identified three problems that may be causing it. As a team, we seem to be unclear about:
* Determining what information is relevant for which team members to read;
* Actually sending relevant information to the appropriate individual;
* Transmitting that information promptly enough so that the recipient can use it in doing his/her part of the project.
We will never make our project deadline if we don't handle the communication issue.
In order to address these and other communications-related concerns, I have scheduled a meeting for _________________ at _________________ in _________________. The sole purpose of this meeting will be to discuss communications among team members. Please come prepared to offer specific solutions to the problems mentioned above.
Thanks -- and thanks for reading this communication.
Sincerely,
