Dear _________________:

As you know, the survival of our business depends on our ability end every month with more money than we had when we started. If too many months go by in which we finish in the red, we will not be able to maintain the staff level and/or the level of benefits we currently enjoy.

We make a profit by doing two things: making more money and spending less. I am writing to ask for your cooperation in the area of spending less.

A recent audit of our office expenses revealed that during the past year:

*Our office supplies expense increased by _________________ percent;

*Our utilities bill increased by _________________ percent;

*Our janitorial service requested an _________________ percent increase due to the increased time they spend cleaning the office.

Clearly, we could save money if we would all be more careful about using supplies, turning the lights off when we leave a room, and cleaning up after ourselves. Please, do your part in bringing these expenses under control.

I am not suggesting an austerity program. If you need paper or envelopes, use them. If you need electricity, use it. All I ask is that you use what you need and no more.

We will conduct another audit in six months. If we have not seen a reduction by at least _________________ percent in office supplies and utilities, I will be forced to take some firmer action.

Thank you for cooperating in this cost-cutting effort.

Sincerely,
